Our internal reporting system is available for you to submit reports securely and, if desired, anonymously.  

Confidentiality – Your identity and the information you provide will be treated with strict confidentiality. Only authorized personnel responsible for handling reports will have access.  

Transparency – The complaint process and the possible outcomes of the complaint will be clearly explained and those involved should be kept informed of the progress of the complaint and the reasons for any decisions. 

Efficiency – The complaint process should be conducted without delay. As time passes, information relevant to the complaint may deteriorate or be lost, which will impact on the fairness of the process. In addition, we acknowledge that unresolved complaints can have a negative and ongoing impact on the workplace. 

Anonymity – You can submit your report anonymously. If you provide your name, we can contact you more directly, but your identity will still be protected. You can use an anonymous email service like Proton to send emails to our responsible colleagues Dr. Friedrich Jacobi, Philipp Reiter or Carina Lehne de Lopez.

Tracking – If you do not want to leave your email, you can call us and mention the NAME you entered (it must not be your real name).   

No Retaliation: The HinSchG comprehensively protects whistleblowers from any disadvantages or retaliation as a result of a report. Any form of reprisal will not be tolerated at eye square.  

You can report a wide range of observations or well-founded suspicions related to your work for or with eye square. These include, for example:  

• Violations of criminal law (e.g., fraud, corruption, theft)  

• Administrative offenses, if the violated regulation serves to protect life, limb, health, or the rights of employees  

• Violations of data protection regulations (e.g., unlawful processing of personal data)  

• Gender issues, ethics, diversity, inequality, bullying, harassment, discrimination   

• Physical or non-physical misbehavior   

• Violations of environmental or safety regulations, workplace health and safety concerns   

• Unethical behavior, conflicts of interest  

• Financial manipulation or fraud   

• Data manipulation, Hacking or P-Hacking (Data dredging)   

• Concerns regarding the work environment or relationships in the workplace   

• Organizational changes

Your complaint, idea, remark or any other thing  will go to upper management and our data protection officer Thomas Barbaro, so that it will be heard and of course ensure that there will be no retaliation whatsoever to the whistleblower.

Acknowledgement of Receipt: You will receive confirmation of receipt of your report within 7 days.  

Review and Processing: Your report will be carefully and impartially reviewed. The people responsible will initiate the necessary internal investigations or take follow-up actions.  

Feedback: Within three months of the acknowledgement of receipt, at the latest, we will inform you about the planned and already implemented follow-up measures and the reasons for them.  

Transparency: The reporting process and possible outcomes will be clearly communicated. Those involved will be kept informed of the progress and the reasons for any decisions, as far as this is possible without jeopardizing the investigation and while maintaining confidentiality.  

Efficiency: Reports will be processed without undue delay, as we recognize that unresolved issues can have a negative impact.  

You are free to contact external reporting bodies directly, such as the external reporting office of the Federal Government at the Federal Office of Justice. However, we encourage you to first use our internal reporting channel if the violation can be effectively addressed internally and you do not fear retaliation.  

For particularly sensitive cases or if you wish to receive further confidential and legally objective advice, Dr. Friedrich Jacobi is available as a confidential backchannel. He can act as a type of ombudsperson and offer further confidentiality and more detailed legal and objective advice. 

Disclosure to the public is protected only under strict legal conditions, e.g., if a report to an external body has previously been unsuccessful or if there is an imminent danger to the public.
